About Events Unlimited
Events Unlimited plans and delivers events for its clients. Every event comes with a date that can’t move, a budget to protect, suppliers to book and a team that needs to be in the right place at the right time.
The challenge
Event work doesn’t arrive evenly. Several events can land in the same few weeks, so the team is stretched one month and quieter the next. Supplier bills keep arriving after the event is over, and if they aren’t tracked against the right job, it’s hard to know whether an event actually made money.
Every event, from quote to project
Each opportunity starts in the Pipeline and is priced with a scope, using the agency’s rate card and services. Once the client signs off, the event runs as a project with its tasks, dates, time entries, budget and forecast in one place, so the team can see what’s been spent against what was quoted while there’s still time to act.
Seeing the crunch before it hits
Resourcing shows the team’s capacity, allocation and remaining capacity day by day. When several events overlap, it’s easy to spot who is overbooked and who has room, and to move work before the week of the event. Approved leave and public holidays come off capacity automatically, so plans are based on who is actually available.
Suppliers, expenses and invoices
Supplier bills and expenses are recorded against each project, so every cost lands on the right event. Invoices can be built straight from the scope or from logged time and expenses, and the Monthly Lock closes each month once it’s finalised.
“Event dates don’t move, so we can’t afford surprises. Graysync shows us who’s free before a busy month hits, and it keeps every supplier bill tied to the right event. That way we know how each job really landed.”
